Refunds & Cancellations

This policy sets out the terms on which refunds and cancellations are available for paid event registrations with Chennai Astronomy Club. Merchandise orders are governed separately.

1. Scope

This Refunds & Cancellations policy applies to payments made to Chennai Astronomy Club (the “Club”) for event registrations, including star parties, city meetups, workshops, and similar activities. It does not apply to merchandise. Merchandise is governed by Shipping & Returns.

This policy should be read with the Terms of Service. In the event of a conflict relating to event refunds, this policy prevails.

2. Event Fees

  1. Amounts collected for events are a cost-sharing contribution towards venue, food, rooms, and related logistics for the relevant event. They do not constitute a membership fee.
  2. The amount payable, the currency (INR), and the registration close time are stated on the event page and/or registration form before payment is collected.
  3. Payments are processed through third-party payment gateway service providers. Refunds, where due under this policy, are initiated to the original payment method.

3. Participant Cancellation

If you wish to cancel your registration:

  1. Cancellation before the announced registration close: a refund of the amount paid for that registration shall be issued to the original payment method.
  2. Cancellation after the announced registration close: no refund shall be due.
  3. Failure to attend (no-show): no refund shall be due.

A cancellation or refund request must be sent to hello@chennaiastronomyclub.org or submitted through the contact form, and must include the event name and the email address used at registration.

4. Refund Processing

  1. Where a refund is due under clause 3, the Club will initiate the refund to the original payment method after confirming the request.
  2. Refunds typically reflect in the source account or instrument within seven (7) to ten (10) business days after initiation. Actual credit timing depends on the payment gateway, bank, or UPI application and is outside the Club’s control.

5. Merchandise Orders

Cancellation, replacement, and refund of merchandise (including logbooks and calendars) are governed exclusively by the Shipping & Returns policy.
